Can I change the font on the Certificates?Yes. Form 15 can be changed within Celebrant Assist. For all other certificates and forms, you can change the font by exporting the document to Microsoft Word. Where is the box to tick for giving the brochures to the couple?On the top of the Bride / Groom screens under the witnesses tab.
How do I change the status from Enquiry to Registered?On the top right hand of the "Status" screen there are a number of text boxes which will change the status of the various processes. The selection for the "Ceremony Status" will appear on the "Current Ceremonies" list. When you select "Complete and Closed' or "Cancelled” for the "Ceremony Status" the entry will no longer show on the "Current Ceremony" list but will remain on the "All Clients" list. The "All Clients" list is your archive file.
Why is the Export to Word tab greyed out?It is greyed out until the program is registered.
How do I email a draft of the official marriage cert. to the couple for checking?You can export any document in the Print List to Microsoft Word by clicking 'Export to Word', and saving the document as Rich Ext Format, which you can edit and safely email as an attachment.
How do I change my registration to put Ph.D. after my name?You change the details in the Registration screen and re-register the program. For details see How To Register Celebrant Assist
How can I change "According to Law" on the official certificate?You can edit this on the Registration screen. It does not affect the registration code.
Why is the the marriage solemnized and place blank on the NOIM?This information should be filled in after the wedding has been performed. The details could change any time up until immediately prior to the wedding (e.g. rain), or if the notice is lodged months before the wedding and the couple changes the venue. To allow for changes after the NOIM has been signed, this is left blank so that you can fill it in with a pen.
What do Celebrants do with the soft copy of the NOIM?This is really a question of your preferred way of doing things. You can send the client the blank NOIM by post or email and ask them to return it to you with the details filled out, then enter the data and print the NOIM for them to sign at their first appointment. Or you can enter the information and print the NOIM at the first appointment. (The couple's are usually very impressed by this). Or, you can accept the NOIM completed by the couple in pen and enter the data at your leisure.
Can I change the suburb on the declaration?You can change this on the ‘Groom’, ‘Bride’ and ‘Witness’ screens. The bride may well sign her declaration at a different place and on a different date than the groom. This should be noted accurately. The program defaults to the celebrants address only as a convenience on the assumption that the declaration is most likely to be witnessed in your office on the second appointment, but this is not always the case. Can I use the Certificates out of the pink book?The program can print over the pre-printed documents but you may have to trim the edge of the certificate to get it to fit the printer. The BD&M minimum requirement is for the paper to be no less that 21.05cm wide. This is .05cm wider than A4. The red number on the certificate is no longer in use, so it is not necessary to fill in the butt.
How can I select a date easily?Tick the checkbox, to the left of the date, ON. Double Click on any component, day month, or year and enter the required number. Even the month, which is shown as a word is entered as a number. Use the left and right arrow keys to move between the date components. Once you have set the date, you can un-tick the checkbox to prevent accidental changes.
How can I keep a record of my emails in the program?Select/highlight the text in the e-mail and press Ctrl/C (Hold the Control key down and press C) to copy the text. Open the ‘Summary or Details screen’, put the mouse pointer in the notes text box, and press Ctrl/V to paste the text. Note: Your readings and ceremony words can also be pasted by the same procedure.
When I export to Word the document is Gobbledygook.When exporting to Microsoft Word, you need to select ‘Word Document’ from the drop down box in the ’File Type’ Text box on the browser screen. Rich Text Format is the best to use as you can edit it and send it safely as an email.
How do I remove the completed weddings from the “Current Ceremony List”?Open the completed ceremony at the Summary screen and click the 'Update' button, next to the ‘Ceremony’ status text box in the top right hand corner. Select 'Completed and Closed'. This ceremony will be removed from the 'Current Ceremonies List', but will continue to appear in the ‘All Ceremonies List’.
How do I delete a venue?You can delete a standard venue in Venues Maintenance, provided that the venue is not in use in any ceremonies.
How do I edit a venue?If you need to edit the details of a venue in your drop down list. Go to ‘Main Menu’, click the ‘Admin’ icon, click the ‘Venue’ button, select the venue, and click the edit button.
Where does the Venue address, printed on the certificates. come from?The venue address comes from the Venue Name, Suburb, and State fields on the venue screen(s). If the venue has a name, eg. Regent Hotel, enter it in the Venue Name field. If the venue is a street address with no name, eg. a couples home, enter the street address in the Venue Name field. If you want the Venue Name and the Street Address to appear on the documents, enter both into the Venue Name field.

Can I print my list of ceremonies and dates?Yes. On the Main Menu screen, click the Print icon and from the Select Report window, and select Ceremonies List, Current Ceremonies or All Ceremonies.
What do I put in the Rites used NOIM and Rites Used Cert fields?You can use the word ‘Law’ in both ‘Rite used’ fields, which covers everything, but you may enter anything approved by BD&M in your state. Some States require the words 'Marriage Act 1961' for NOIM. Some celebrants use the word 'Civil' for the Certificate. If in doubt, check with the Registrar for your State. You may change these settings on the Admin > Registration page, at any time, without affecting your registration. Note that these changes are not applied to ceremonies already entered.
My registration has expired. What do I do?Uninstall and re-install Celebrant Assist and then register the program. Please see our User Guides for complete instructions. You will get an email reminder from us, but please don't rely on it. If you have ceremony data that you wish to keep, you can send your data file to us and we will register it and send it back. Unfortunately, this is not a simple task and we have a standard charge of $110.00, which is stated on the Registration screen.
Can I save the words of the ceremony in Celebrant Assist?Yes. You can Copy and Paste them into the notes section in the program. This will give you a complete record of the ceremony in Celebrant Assist.
How can I stop the text boxes on the screens from being distorted and overlapping?This is caused by the DPI setting on your computer. You can change the DPI setting in the Control Panel > Display > Settings tab > Advanced button on the bottom right of window. From the DPI setting drop down box select Normal size (96 DPI), select the 'OK button, close these screens till you return to the desk top. You will need to restart your computer to have this change take full effect.
Can I change the Celebrants name on the declarations?You may change the spelling of your own name. adding a middle initial, second name, etc., but this will require you to re-register the program. You can't change the name to a different celebrant. You may specify a different celebrant on some documentation, if another celebrant takes over the ceremony from you.
Do most Celebrants print the certificates on blank A4 paper?You can print the Official Marriage Certificate on blank paper. In Queensland BDM require archival quality acid free paper, which is generally available including from Celebrant Assist. The Presentation Certificate for the couple must be printed on the stationery that can only be purchased from CanPrint in Canberra.
How important is the red serial number on the certificates from Can Print?It is my understanding the red number is no longer used by any government office.
Do I have to use the Red Book?The “Red Book” was produced for the convenience of the Celebrants. It is quite acceptable to print the “Retained Copy of the Marriage Certificate” on A4 paper and store it in a folder or pouch. You could take the Red Book, on the day of the wedding and place the certificates on top of the open book.
